There may be people who have just started living in a share house but find themselves in a situation where they have no choice but to cancel their contract early, such as due to sudden transfers or having to return to their parents' home.
If you want to move out before the contract expiration date, there are a few things you need to be aware of.

Therefore, in this article, we will introduce the things to keep in mind when canceling your share house early, as well as the process of moving out.
If you want to smoothly complete the cancellation procedure and move out, please read until the end.

Can I cancel my share house contract early?

When renting a share house, you sign a fixed-term rental contract, so you generally cannot cancel the contract early.

A fixed-term rental contract is a rental contract with a fixed period, and a minimum tenancy period.
The period varies depending on the management company, but for shared houses it is about 1 to 3 months.

In order to cancel within the minimum tenancy period, you must meet the special conditions regarding cancellation written in the contract.
Conditions for special notes include ``contact the tenant several months before the move-out date'' and ``pay the rent until the expiration date of the contract.''

If you are late in notifying us of your move-out date, you may incur a penalty fee, so once you have decided on your move-out date, first explain the situation to the management company and ask for instructions.

Points to note when canceling a share house early

When canceling your share house early, you can avoid trouble by keeping the following four points in mind.

Points to note: 1. Tell them your move-out date early.

Read your share house contract carefully and find out how many days in advance of your move-out date you must contact the management company.

For example, let's say your contract states, ``Please contact us one month before your move-out date.''
If you wish to move out on June 30th, you must notify us by the end of May at the latest.
In some cases, you may be charged a penalty fee if you notify us just before the move-out date.

It is safer to keep a record of your move-out date in writing or by email, rather than verbally or over the phone.
Just in case, please include the reason why you want to cancel, so you can move out amicably.

Points to note ② Do not leave personal items behind

Please do not leave any personal belongings in your private room or at the entrance, or any food in your refrigerator unattended.
If you have bulky items such as furniture or bicycles, please dispose of them as soon as possible.

Please note that if your personal belongings are left behind when you move out, you may be charged additional fees.

Points to note ③ Make sure you have the allowance provided to you when you moved in.

If you lose your keys or card key, you will be charged a fee.
If you have any other items provided by the share house that need to be returned when you move out, be sure to have them ready to return.

Point 4: Take a photo of the room when you move out.

If you are not present when you move out, we will take a photo of your private room just before you move out and send it to the management company.
This is to prove that all personal belongings have been removed and that there are no scratches or stains.

It's a good idea to take several photos, such as a photo of the entire room or a close-up photo of any scratches or stains.

If the room is found to be damaged after you move out, you may be charged additional fees.
If there are any parts that have been damaged since you moved in, take photos of them and report them.

Procedure for canceling the share house and moving out

From here, we will introduce the process for canceling the contract and moving out of the share house.
The basic flow of withdrawal is as follows.

Procedures for moving out of the share house

  1. Notify me of your move-out date

  2. Prepare for moving

  3. complete the meeting

  4. Check whether there is a deposit or not

If you follow the steps below, you will be able to move out smoothly.

Step 1: [Before moving out] Notify the move-out date

Once you have decided on your move-out date, contact the management company or landlord in writing or by email.
After that, we will proceed with the procedure according to the instructions from the operating company.

If you have daily rent or penalties, pay them early.

Step 2 [Before moving out] Proceed with preparations for moving

Once you have confirmed your move out, start packing.
Be sure to plan accordingly so as not to leave any personal belongings in the shared house.
At the same time, we are also making arrangements for trucks and rental cars to transport the luggage.

If you have bulky waste, please contact your local bulky waste center to have it removed.
It may take 1-2 weeks to make arrangements, so we recommend that you make arrangements as soon as possible.

Please note that if you forget to change your address, mail and deliveries will be delivered to your share house after you move out, so be sure to change your address to your new address.

Step 3 [Moving out date] Complete the attendance

Remove all personal belongings by the designated time on move-out date.
Afterwards, we will conduct the following checks in the presence of the management company's staff.

Things to be confirmed when you are present on the day of departure

  • Are you leaving any personal items in your room?

  • Are there any damaged parts?

  • Is there any heavy dirt?

It will be smoother if you check yourself in advance and self-report if there is anything that applies to you.

Please note that there may be times when the staff will not be present, but in those cases, you will be able to take photos of the room yourself and send them to us.

Once you return the keys at the end, the procedures on the day of departure are complete.
If you are not present, take a photo of where you left your keys.

Step 4 [After moving out] Check whether there is a deposit or not

If any parts are intentionally damaged, additional charges will be paid after you move out.

Also, when you move into a share house, there is no security deposit or key money; instead, a deposit is required.
A deposit is money that will be used for repairs and cleaning fees in the event that the private room or equipment in the share house is damaged or soiled, and the average value is approximately 30,000 to 50,000 yen.

There is no rule that the deposit must be refunded, so depending on the share house management company, there may not be a refund to the tenant.
If you paid a deposit when you moved in, but it was not refunded after you moved out, please check again.

Additionally, if you realize that you have left something behind after leaving the property, you must contact the management company in advance.
If you try to enter a shared house without permission, you may be considered trespassing, so be careful.

Is it okay to be honest about the reason for canceling the share house early?

There is no problem in telling the reason for early termination of the share house, no matter what it is.
If the reason is unavoidable, such as your work location changing due to transfer or job change, or moving in with your partner, it would be better to let them know so that you can move out amicably.

Also, even if the reason is negative, such as not having the image of the share house you want to live in or not matching with the tenants of the share house, it may be possible to resolve the issue by reporting it to the management company.

In order to gain the understanding of the management company and landlord, we recommend explaining the circumstances, especially when canceling early.
